Workleap Onboarding lets you set up great onboarding plans and schedule meetings quickly with input from teammates across the entire organization. You can create your own reusable plan templates, share your company’s resources, send activity reminders automatically, and get feedback from newcomers on their plan.

To use Workleap Onboarding, you need to understand a few basic concepts. Activities, plans, resources, and integrations make up the core of Workleap Onboarding, and if you understand them you’ll be able to jump in without a hitch!

What does this article cover?

Activities

Activities are tasks that need to happen in your onboarding process by a given date. For example, does your new employee need to watch a welcome video from the CEO on their first day? Create an activity and attach a clip in Workleap Onboarding to notify the newcomer to watch the video!

You can also use activities to assign tasks to other teammates. For example, do you need the IT department to create a company email for the new employee before their first day? Create an activity and assign it to the responsible party with any important directions or resources.

With activities, you can also set due dates and notifications so that nothing in the process falls through the cracks.

Activities, of course, don’t exist by themselves. Activities are part of a plan for your newcomer. There’s a lot more you can do with activities, such as create checklists and sync them to your Google or Outlook calendars, but you can learn more about that in the articles below:

Plans

Plans in Workleap Onboarding are displayed as a calendar that you can drag and drop activities into. Each onboarding is different, so you can create a plan with customized activities for each one. Plans can be created from scratch, or you can use an existing template to jump-start your process. Templates have activities already created, either from our suggested templates or from plans you made earlier and saved as a template to use again.

Plans can be shared with teammates as well as with your newcomer so that everyone can see what’s ahead. There are a lot of additional functions in plans to make your onboarding easy that are explained in the articles below:

Resources

When you’re creating activities, you may have different types of files you want to share. In Workleap Onboarding, we call these resources! You can upload files directly to Workleap Onboarding to be used with activities or link to a file from your cloud storage. Using links lets you keep everything that you need for onboarding in one place, without having to duplicate files.

Integrations

Workleap Onboarding is meant to be an extension of your existing tools to simplify your onboarding process. You don’t have to change the way you store your files, keep your calendar, communicate with teams, or manage employees in order to use Workleap Onboarding.

For example, you can continue to use Google Calendar to manage your work schedule. All you have to do is click to sync an activity to your calendar, and you’ll have all your tasks in one place!
