Plans are a collection of activities that help you onboard a newcomer. The Plans overview article talks about what you see in the plan calendar view while in this article we’re going to talk about creating, updating, and deleting plans.

What does this article cover?

Plans list

You can view the Plans list page by clicking Plans in the left menu.

Note: Administrators will see every plan for the organization while plan creators and employees only see their plans.

The Plans list page will show you the progress of a plan at a glance. You can see if an invitation has been scheduled for the newcomer, when the newcomer’s first day is, the teammates involved with the plan, the percentage of completed activities in a plan, and the date of the last plan modification.

Clicking the plan name will open up the calendar view of the plan.

If you have a long list of plans, you can filter the plans based on the newcomer’s first day or the invitation status for the plan.

Create a plan

Only users with administrator and plan creator access can create plans in Workleap Onboarding. For more information on user access see our article on Managing users.

To create a plan, navigate to the Plans list page and click Create plan in the top left.

A pop-up will open that will have a series of steps to complete to create your new plan. You’ll need to enter the following information:

  • The newcomer's first and last name

  • The job title of the newcomer

If you’re creating a plan for an existing teammate, then the job title will autofill after entering their name.

When you’re done, the calendar view of the new plan will open.

Edit a plan

You can edit a plan at any time by opening it to the calendar view.

You can click the plan name to edit the newcomer's name, job title, and email. Changing the start date is as simple as clicking the First day dropdown and selecting a new date.

You can add teammates and change their roles by clicking the plus sign next to the teammate avatars in the top right. See the articles add teammates to the plan and Understanding roles for more details on managing teammates.

For information on editing the activities that make up a plan, see the article Managing activities.

Delete a plan

If you no longer want a plan, you can delete it from Workleap Onboarding. To delete a plan, open the plan to the calendar view. In the top left, click the cog and select Delete plan.

All of the plan activities will be removed from the Home page of any assignees.

Save a plan as a template

If you would like to re-use your plan and all its activities at a later date, you can save the plan as a template. See the article Managing templates for directions on how to turn your plan into a template.
