Manage activities

Add, edit, copy or delete an activity.

Activities are the building blocks of a plan. In order to get your onboarding process going, you’ll need to know how to create and manage activities. In this article, we’re going to walk you through the ways you can add an activity to a plan and continue to customize them for personalized experiences.

What does this article cover?

Adding activities to a plan

There are three ways to add activities to a plan:

  1. Create an activity from scratch.

  2. Use one of our activities for inspiration and edit the activity for your needs.

  3. Duplicate an existing activity to use it again.

We’ll address how to do all three in the instructions below!

Create a new activity

On a plan, hover over the calendar day you want to create an activity and click Add, or click on the Add button on the top left.

You will be prompted with different choices to build an activity.

Create an activity

Choose Activity and a blank activity will open. You can now fill out everything an assignee needs to know! You can close the activity when you’re done as all updates are saved automatically.

Create a goal

Choose Goal and a blank goal will open. You can fill out the description and a target date for you new hire.

Import document

Add any document (PDF, Word, PowerPoint, or an image) that contains instructions for you new hire. Our AI will read and convert it into a series of activities spread over the first few weeks. It's a great way to get started with what you already have!

Add a series of activities through an AI prompt just like Chat GPT.

Pre-built templates

Insert all the activities from our pre-built template for inspiration. You can then edit the ones you want and delete the ones you do not want.

My templates

Insert all the activities from your own templates. This will make sure all your new hires are set up quickly and consistently.

Duplicate an activity

Rather than manually create an activity over and over again, you can duplicate an activity you want to use more than once in your plan. When you duplicate an activity all of the activity details, from the assignee to the checklists are copied.

Hover over an activity and click the ellipses in the top right corner. In the drop-down select Duplicate.

A new activity will appear with an activity title starting with (Copy).

You can now drag and drop the duplicate activity to where it’s needed on the calendar.

Move an activity

You can change the start date for activities by simply dragging and dropping them to the appropriate date on the plan calendar.

Copy an activity to another plan

If you know that an activity you’ve made would be useful in another plan, you can add a copy of that activity to the plan. For example, you have two newcomers who will both have to meet with IT about remote access to a server. You can create an activity in one plan, and then have that activity added to the second with a click of a button.

Hover over an activity and click the three dots in the top right corner. In the drop-down select Copy to…

A pop up will open where you can select a plan or template that you want to add the activity to.

The activity will be copied in its entirety to the other plan.

Edit an activity

Click on an activity in a plan to edit it.

Any of the fields from the Activity overview article can be edited. Checklists in particular have a lot of customization you can do, the article on Activity checklists goes into more details on that feature.

All updates are automatically saved, so when you’re done with your edits you can close the activity.

Bulk edit activities

If you need to make changes to multiple activities at once, click Select activities… in the top right of a plan.

Click all of the activities you want to edit. Use the Select all button in the toolbar at the bottom if you want every activity in a plan selected.

There is a checkmark in the top right corner of activities to let you know they've been selected.

Once you're done selecting activities, you can now perform the following actions to all of the selected activities through the toolbar at the bottom:

  • Assign the activities to a teammate

  • Copy to lets you add the activities to another plan or template

  • Move all of the activities a certain number of days forward or backward on the calendar

  • Delete the activities from a plan

Delete an activity

If you no longer want an activity in a plan, you can delete it. To delete an activity, hover over it and click the three dots in the top right corner. In the drop-down select Delete.

If you already have an activity open, you can also delete it by clicking Delete in the menu on the top right.

Deleted activities will no longer show up on the Home page for assignees to complete.
