Learn what a role is and how to use it in a plan.

When working with templates and activities for inspiration, you will see different roles assigned to activities. Roles are placeholders in activities for the person that will be assigned to a task.

Explore all activities by clicking on New in the plan calendar view.

Then choose Browse our activity library to see the list of all suggested activities.

You’ll see a role title over each group of activities. In the example below, the Pre-arrival info activities will be assigned to a teammate with either the role of Manager or IT.

When you add a Pre-arrival activity for the Manager to your plan, the teammate who has been given the role of Manager, will automatically be assigned the activity. In the example below, Eric is the teammate with the role of Manager.

This is helpful in templates, as each activity is connected to a role. Instead of having to open every activity and add an assignee, you can simply match a teammate to the appropriate role and have them assigned to each activity. In a few clicks, all of your template activities will be assigned to the responsible teammate.

By taking advantage of roles, you can use the same template for different departments and teams with minimal changes.

Manage Roles

In a plan, click the + sign in the top menu. A dropdown will open with all of the teammates that have been added to the plan and any assigned roles.

If you used a template or activity for inspiration in your plan, then you will see roles that need to be assigned to a teammate. For more information on teammates, read our Add teammates to the plan article.

You can change roles at any time by clicking on the role icon. A dropdown will show all the available roles to choose from.

Note: A teammate can only have one role and a role can only be assigned once in a plan.
