Templates are a set of saved activities that can be used to start a plan or add to a plan. The article Templates overview goes over what you’ll see in a template and the basics of how to use it. In this article, we’re going to explore how to create, edit, and delete templates.

Note: Administrators will see every template for the organization while plan creators and employees only see their templates.
You can view the Templates list page by clicking Templates in the left menu.
The Templates list page will show you all the templates you can edit.
Clicking the template name will open up the editor view of the template.
Create a template
There are two ways that you can create a template:
Save an existing plan as a template.
Create a template from scratch.
We’ll go over both methods in the sections below.
Save an existing plan as a template
To save a plan as a template, open the plan to the calendar view. In the top right, click the ellipses and select Save as template.
You will have to enter a title for your new template.
Next, you’ll be prompted to select roles for any assignees in your plan. On the left, you’ll see a list of the teammates in the plan as well as their assigned role. On the right, you’ll see the role that the template will have to replace those teammates with for activity assignments.
You can change the role that will be used in the template by clicking the field and selecting a different role in the dropdown.
When you’re done, click Create template to save your new template.
You’ll now be able to find your custom template under the templates for inspiration on the plan calendar page as well as on the Templates page under custom templates.
Create a template from scratch
If you don’t have an existing plan you want to use as a template, you can create a brand new template from the Templates list page.
At the top right of the page, click New.
The new empty template will be created, and you can start adding content quickly using one of these options.
Upload a document: Upload a document you are already using to onboarding new hires such as a checklist in Excel, a PDF document full of links and texts or even an image or a PowerPoint presentation. Our AI will transform it in an onboarding template full of activities spread over a few weeks in one click.
Get started with prompts: Just write down what you want included in your onboarding template, and our generative AI will create a template filled with appropriate activities.
Use our built-in templates: Select one of our carefully curated list of activities for generic onboarding or specific role such as manager, executives, developers, sales executive, and more.
Duplicate an existing template: Just duplicate an existing template you intend to adjust.
Click on the gear icon at the top left to change the name and details of your template.
Edit the title, description or tags and click Save.
After you have named your template, templates work almost exactly like regular plans. You can add activities for inspiration or create new activities. The only difference is that in addition to assigning an activity to teammates - you will have the option to assign activities to roles.
By assigning activities to roles, you can customize the teammate that is assigned a role every time you use a template. This saves you from having to edit individual activity assignments when reusing templates.
Edit a template
You can edit everything about the custom templates that you build. Activities can be added, removed, and changed however you need. Custom templates can be renamed at any time.
Note: Updating a template will not update plans created from that template in the past. The update will only apply going forward when you use the template.
Delete a template
If you no longer want a custom template, you can remove it from Workleap Onboarding. To delete a template, click Templates in the left menu.
On the Templates page, click on the template you want to remove. In the top right of the template, click the ellipses and select Delete template.
A pop-up will warn you that deleted templates are removed permanently. Click Delete to erase the template.
