What is an onboarding plan?

An onboarding plan is a newcomer's collection of activities and goals that can be customized to the specific needs of the role.

What is an onboarding template?

A template is a collection of activities and goals that you can reuse. When creating onboarding plans, you can turn them into templates to save time in the future and create a repeatable process, so you don’t need to start everything from scratch every time.

How does the first day invitation work?

Scheduling the first day invitation for a newcomer is a straightforward process. Once you have finalized the onboarding plan, schedule the first day invitation by following these steps. At the scheduled time, a notification will be automatically sent to the newcomer. This notification will contain a link enabling the newcomer to set up their account and access their activities seamlessly.

How does the pre-arrival invitation work?

A pre-arrival invitation is designed to grant newcomers access to activities assigned to them before their official first day. Once it is set up, on the day of the start of their pre-arrival activities, the newcomer will receive a notification containing a link to access and complete their pre-arrival activities. It's important to note that the pre-arrival invitation only grants access to pre-arrival activities. For post-arrival activities, the newcomer will need to utilize the link provided in their first day invitation notification. How do tags work for plans and templates?

Tags serve as handy tools for categorizing and organizing your plans and templates. Here's how they function:

  1. Tag creation: You have the flexibility to create numerous tags according to your organizational needs.

  2. Tag assignment: Once created, you can assign these tags to your plans and templates freely. There's no limit to how many tags you can assign to a single plan or template. This allows for comprehensive categorization and organization.

  3. Filtering capabilities: After assigning tags, you can utilize them to filter through your plans and templates. This filtering feature enables you to quickly locate the specific plans or templates you require based on their assigned tags.

What happens when I archive a plan?

Archiving a plan results in its concealment from the list of plans, but it doesn't restrict access to its activities for assignees. Here's what you need to know:

  1. Visibility: Upon archival, the plan becomes hidden from the list of plans, maintaining workspace organization.

  2. Accessibility: Despite being archived, assignees can still access and complete the activities within the plan as needed.

  3. Notifications: Notifications for overdue activities within archived plans are not sent, contributing to a streamlined notification experience.

  4. Restoration: Should the need arise, you can effortlessly restore an archived plan to active status.

  5. Location archived plans: To review archived plans, simply activate the "View archive" filter within the list of plans, facilitating easy access and management.

How are dates and times displayed? What do time zone settings do?

Dates and times are displayed based on the context. For instance, when viewing an onboarding plan's page, the dates and times are presented in the plan's time zone, which can be viewed and adjusted by modifying the plan's first day. Alternatively, in other contexts, such as general user interfaces, dates and times are shown according to the user's specified time zone, which can be configured within the user's profile page. This flexibility ensures that users can easily interpret and manage schedules irrespective of their geographical location.

How do I sync activities to Outlook/Google Calendar?

To sync an activity to its assignees' calendars, add a meeting to the activity. This triggers a meeting invitation sent via email to all the assignees. Upon acceptance, the activity seamlessly integrates into their calendars. Additionally, if assignees choose to send their responses to the meeting's organizer, you can view their responses in Onboarding.

Can I assign activities in bulk to someone? How do onboarding roles work?

Onboarding roles streamline activity assignments within your onboarding process. Here's how they function:

  1. Built-in and custom roles: Predefined roles like HR, Manager, IT, Mentor, and Buddy are available. Additionally, you can create custom roles tailored to your organization's requirements.

  2. Template assignment: Within templates, you can assign activities to these onboarding roles instead of individual team members.

  3. Plan assignment: When templates are added to plans, you can designate a specific team member for each onboarding role. All activities assigned to that role will automatically be assigned to the designated individual.

What's included in the free plan?

The freemium includes core features of Workleap Onboarding. It's limited to 1 onboarding template. To activate your freemium account, it’s easy: create your account, and you are ready to go. No credit card required.

What is the difference between our plans?

The only difference between our plans is the allowed number of templates: 1 for the Free plan, 3 for the Starter plan, 10 for the Essential plan, and an unlimited amount for the Pro plan. Other than that, all of our plans offer the same features and an unlimited number of users.

What are the available payment options?

You can pay using a credit card or via wire transfer.
