You can sync activities to your Outlook or Google calendar so that you never lose track of events. Before you can add any activity to your calendar, you’ll need to do assign anyone who needs to attend a meeting, including yourself, to the activity.
Sync an activity
Click "Meeting" to add a meeting to your activity.
A pop-up opens where you can set up your meeting. A breakdown of all the different fields to create a meeting is below.
1. Assigned to
These are the people who have been assigned to the activity and will receive an invitation for the meeting you’re scheduling.
2. Date
Click on the calendar day the activity should take place.
3. Duration
Use this dropdown to select how long the activity should take.
4. Location
This section lets you select where the meeting is going to take place.
None - There is no location that needs to be attended, the date and time selected is simply when the activity should be done.
In person - There is a physical location where the meeting is taking place. Enter the location information and click Done.
Zoom - The meeting is virtual. Integrate Zoom with Workleap Onboarding to send out meeting links.
Microsoft Teams - The meeting is virtual. Integrate Microsoft Teams with Workleap Onboarding to send out meeting links.
Google Meet - The meeting is virtual. Integrate Google Meet with Workleap Onboarding to send out meeting links.
5. Only show time slots when everyone is available
If you need everyone assigned to be able to attend a meeting, click this filter option. Only time slots that are available on each teammate's calendar will appear as an option for the date you selected. To use this feature, you will need to setup a calendar integration.
6. Time
Click the time slot you want the activity to take place. Each time slot will have an icon for every assignee that shows if they’re available (green) or unavailable (red) during that time. If a teammate does not have an account connected with the calendar sync integration, then a question mark icon will appear by their name as their schedule is unknown.
7. Book meeting
When you have finished, click this button to sync the activity to your calendar. If you created a virtual meeting using Zoom, Google Meet, or Microsoft Teams then assignees will receive a link to join the meeting with their activity notification.
